Creator's Statement

As a clinical psychologist with over 25 years of therapy experience, I have taken notes on a lot of sessions.  Despite being technically savvy and having expertise with dozens of applications for both PC and PDA, I had never felt a need to computerize my notes; pen, paper and manila folder worked fine.  Until now.

HIPAA changed that.  Now I was faced with the prospect of maintaining two separate files to take advantage of APA’s intensive efforts to establish the Psychotherapy Note Exemption.  And I recognized that much of my PHI energies would not contribute to the clinical care of my patients.  Data like prognosis, progress to date, diagnosis, and CPT code, perhaps essential to a medical practice with several hundred patients, were clearly familiar to me as a product of the therapeutic relationship.

A customized computer database was the solution.  I could maintain separate PHI and Psychotherapy Notes, yet have fluid access to both.  PHI fields that rarely changed could be automatically supplied.  The advantages of technology could be harnessed for alerts and reminders, easy access, and end-of-month summaries, all accessible with a button.

But it was after I started using the program that I appreciated the true benefits.  My notes were more complete and required less time.  Printouts made accounts receivables much easier.  And when an insurance company asks for my patients’ records, I can instantly fulfill their request with a copy of my PHI.

And with the new Billing Module, I can print all of my bills instantly. What used to take hours now takes five minutes.
