Ease of Use

Most users will never have to consult the manual. A set of buttons is logically laid out to intuitively take you everywhere you want to go.


Enter the necessary Identifying Data. It can always be edited.


You are presented with a pull-down list of patients; click (or Smart Select) to access the Identifying Data.

Choose your patient and a new note is created. Lookup fields such as date of session, diagnoses, CPT code, prognosis, progress to date, and treatment plan are automatically inserted. The fields can be changed at any time. A customizable list of Symptoms Discussed, ordered by heading, is available as a checklist. A text field completes the PHI. The Psychotherapy Note field becomes available to write your sensitive information, stored distinctly separate from the rest of the PHI.

Instantly access all of your notes for a patient, listed in descending (most recent first) order. This  "read-only" mode protects against inadvertently altering your data.

Permits modification of a previously written note.

Patient Cancelled/No Show – Charge. For those clinicians whose policy includes charging for missed or inadequately cancelled sessions, clicking this button will replace the CPT code with PC/NS-C. PHI data can still be entered (i.e. you may document your phone contact, etc.). Sessions not attended are clearly indicated in both the PHI and Session Summary.

Enter a date range and instantly know the number of sessions that have occurred. Simplify this Managed Care requirement.

Make a notation about the type of alert (i.e. for patient’s teacher) and receive an automatic alert that it is time for reauthorization, a new requirement of HIPAA. As the actual days requirement is state specific, you set the global requirement for this value. Alternately, you can simply use the conservative default value of 50 days (giving you a ten day warning for a 60-day notification period)

Enter the number of days and a brief message, and automatically be reminded. Do you need to recertify or resubmit an OTR? Want to follow up on that patient homework assignment? The Reminder Alert will simplify your life.

This window contains all of the patient/client data that will rarely change. Enter it once, and the data is automatically entered on the patient’s session note. You may change the value of the lookup field at any time; the new value is then entered for all future session notes. Values can be directly modified for any individual session at any time.

This window allows you to change variables available for all of your Session Notes. Change the available choices for all of your Lookup Field Pulldown Lists, such as diagnosis codes (why scroll through the entire DSM-IV when your practice primarily treats 15 diagnoses) and Treatment Plan choices. This is also the place to enter your office address(es) that will appear on printed reports and change your program password.  (The default password is "psyche.") You may insert a graphic of your signature for use on reports and bill statements.

Here you can print out summaries of patients/clients names with session dates and CPT codes, the PHI or PHI with Psychotherapy Notes appended, and bills for individuals or your entire practice via batch print.

A grid of your patient's/client's entire billing history is presented in reverse chronological order. Total balance, co-pay balance, payments received from insurance and patient/client, along with identifying notes makes your accounting clear and easy. You can also print bills directly from this window.

You are always one click away from making a backup of your files.

Instantly remove a patient/client from your active list and store the individual's records in an archival file with a click of a button. Another button instantly returns them to the active file. This is also the place to permanently delete any file (use with caution.)

Not sure what something is, or how to access it? Click this button and help text balloons appear throughout the application. Click again and they disappear.
